Who we are
Hydelogix provides AI-powered professional coaching to individuals, organizations, and partners who license the platform under their own brand. This policy describes what we collect, why, and who can see it.
What we collect
Account data: name, email address, password hash, and workspace membership.
Coaching data: the profile you complete at onboarding, your conversations with the Adaptive Coach, memories the coach saves, goals, commitments, session summaries, assessment responses, practice debriefs, and program progress.
Organization data: content your administrators publish to ground the coach, invites, seat licenses, and subscription status.
Usage data: session counts, model token counts, and timestamps used for metering and reliability. We do not use third-party advertising trackers on the product.
How we use it
To coach you: your profile, goals, commitments, memories, and your organization's content are assembled into each coaching turn so the coach can ground its responses in your situation.
To measure outcomes: commitments kept, goals completed, and assessment movement power your growth timeline and, in aggregate only, your organization's Insights.
To bill and support: subscription status, seat counts, and support requests.
We never use your data to train external AI models.
Who can see it
You see everything in your vault. Organization administrators see aggregate engagement and outcome metrics and the roster — never transcripts or memories. A human coach sees only the scopes you consent to after accepting an assignment. The platform founder sees curriculum, usage statistics, and aggregate coaching health — never transcripts or memories.
Sub-processors
We rely on a small number of providers to run the service: a managed Postgres and authentication host for the database, a hosting provider for the application, large-language-model providers for coaching turns (which receive the text of a turn and the grounding for it, under contracts that prohibit training on that data), Stripe for payments, and an email provider for transactional mail. Where a founder connects Google Drive for curriculum sync, Google is a sub-processor for that content only.
ArcasyaAI account pairing
Hydelogix runs on the ArcasyaAI platform. Each Hydelogix account is paired with an ArcasyaAI LaunchpadOS account so you can sign in either way. The pairing shares your email address, display name, and usage counts. Coaching memories are mirrored to your ArcasyaAI account only if you enable that in Settings; transcripts are never mirrored.
Retention and deletion
Data stays for as long as your account or workspace exists. Cancelling a subscription suspends the workspace and keeps the data so you can return. To delete your account and vault, contact support; deletion is completed within thirty days.
Your rights
You can view and correct your profile in Settings, review the memories the coach has saved, and request an export or deletion of your data by contacting us at the address below. Residents of jurisdictions with specific privacy rights (such as GDPR or CCPA) may exercise those rights through the same channel.
